CIDOC’s Documentation Standards Working Group (DSWG) today released version 1.0 of the Exhibition Object Data Exchange Model (EODEM), designed to save museums from wasted staff effort by enabling museum databases to export objects’ data from one system at the press of a button, and import the data into another system just as easily.

EODEM provides a template for exchanging information that both identifies the objects being lent, and that describes the lender’s requirements for handling, transport, environmental controls, installation, display, etc. Automating the export and import of this information reduces the chance of manual data errors during the transfer, whilst an EODEM record can contain all the information needed to manage a loan.

Every year, museum staff waste days manually copying the details of thousands of objects from their databases, and sending them to other museums that wish to borrow those objects. The borrowing museums’ staff then manually copy those details back into their own collections management systems. A survey carried out by the DSWG in the second half of 20221 suggests that, over a ten-year period, the median time spent by a museum on data entry for incoming loans is 48 days, whilst the mean is 127 days: very nearly 7 months, so well over half a working year. EODEM aims to save that time.

EODEM takes the form of a profile of the well-established LIDO data-harvesting format, in turn based on the widely used eXtensible Markup Language (XML), which means that it is simple for any competent developer to implement. Whilst museums are encouraged to share as much data as they can, EODEM encourages adoption by working on the principle that something is better than nothing, and even a minimum set of object identification information is sufficient to create a useful and valid record.

EODEM has been developed as a collaboration between documentalists, the CIDOC LIDO Working Group, and collections management system suppliers. Freely available under a Creative Commons Attribution (CC BY) licence, it has already been implemented in museum-digital’s musdb and zetcom’s MuseumPlus, and will be included in the next major releases of Modes. Other software suppliers are either working on implementations of EODEM or planning to do so shortly.

Because it includes basic object identification information as well as more loan- and display-focussed data, EODEM has potential uses for exhibitions, including exhibition and display design; object transport, shipping and insurance; app development; and management of shared storage.

Regine Stein, Chair of CIDOC’s LIDO Working Group, said: “The exchange of object information for exhibitions is a prominent use case for data reuse that is of great importance to so many museums worldwide. Facilitating such reuse of object data in multiple contexts is the primary goal of CIDOC’s LIDO standard. We are very excited about the release of EODEM, now implemented as a LIDO profile. It has been a fruitful collaboration between the two CIDOC working groups, benefiting both sides – to the mutual advantage of our community. Congratulations!”

Norbert Kanter, instigator of the project and Director of Product Development for zetcom AG, said: “In the end, the goal of all Collection Management Software vendors is to make the work of museum and collection staff easier and more effective. For the first time, several software companies and CIDOC have worked together over years to achieve this goal.   • CIDOC (the Comité International pour la Documentation) is the ICOM International Committee for Documentation. One of ICOM’s 30 international committees, it provides the museum community with advice on good practice and developments in museum documentation, which is essential to all aspects of a museum’s activities. 

  • CIDOC’s Documentation Standards Working Group promotes and identifies relevant standards for museum work. The evening began with a captivating speech by Marcel, the founder of zetcom, who regaled the audience with stories of the company’s humble beginnings. The Vogtlandmuseum is the local history museum of the city of Plauen, Germany. The Vogtlandmuseum documents the cultural history of the Saxon portion of the Vogtland region from prehistory to the present. It is housed in three listed residential and commercial buildings dating to the end of the 18th century. 

The museum opened here in July 1923. Part of the permanent exhibition are period rooms, incorporating elements of the original interior design and decorative art.  The valuable collection of the museum includes about 500,000 objects. The Vogtland region, with Plauen as its center, is renowned for its fabric manufacturing, lace production and embroidery of global importance.

Recently we had the chance to chat with Jennifer Neuburger Talbott,  Deputy Director for Operations and Innovation at the Spencer Museum of Art.

The Spencer Museum is part of the University of Kansas system and the two have a long-standing relationship in pioneering the digitalization of museums and positively impacting the state of Kansas.  Jennifer has a special connection to KU in that she doesn’t just work within the system, she’s also an alum. In our discussion, we talked about the unique intersection of art and technology and how the Spencer Museum of Art has been at the forefront of integrating museums and universities into their surrounding communities. 

The Spencer Museum of Art uses zetcom’s MuseumPlus software to manage their collection, which consists of more than 48,000 art and cultural objects, and many other content assets, including events, exhibitions, research, educational resources, archives, and more. From this foundation, the Spencer fulfills its mission of exploring and joining in conversation with audiences about art and artists by continuously growing database records to share and expand with the university community of students and researchers, local and regional K-12 classes, and a global audience.  The integration of art and technology with the aforementioned education resources, specifically for K-12 lesson plans, has been critical in the Spencer’s goal to integrate their collections into classroom teaching throughout the state of Kansas.

Recently, the Spencer Museum of Art received a federal grant to upgrade to the cloud version MuseumPlus, after using the server-based MuseumPlus for over two decades.  With this upgrade, the Spencer will be able to leverage even further their digital assets by ensuring ease of navigation and record management. Jennifer mentioned that the timing of this grant will be pivotal in achieving their digital goals, as it sets alongside a second federal grant to complete redesign and reimagining of all its website applications, including their Online Collection, University Curricular Resources Database, and K-12 lesson plans..  From this, and its MuseumPlus update, a suite of five browser-based apps will allow audiences to access the Museum’s data and support visits to the galleries, classroom instruction, and more. 

“We have strived to make MuseumPlus our single source of truth over the past two decades by aggregating over 100 years of museum history and seamlessly serving content to our audiences through our online applications. We look forward to the improved functionality of the cloud-based MuseumPlus and reimagined web resources to more fully serve our global audiences.”

This is the latest in a series of innovative steps the Spencer Museum of Art has taken towards continuing to be a pioneer in the digitization of its collection and its subsequent impact in the surrounding communities.

Today we’d like to introduce you to Nicolas Guillaumin, Head of Group Services at zetcom. 

Group Services at zetcom

Nicolas is responsible for four teams, including tech specialists and customer support, all of which focus on delivering high-quality support and service to clients. It’s Nicolas’ responsibility to ensure that the customer support team is the smoothest touchpoint for clients after onboarding.

One of the exciting aspects of a Head of Group Services job is that every day is different. Nicolas and his team are constantly responding to current issues and meet regularly with the management team to direct strategy. While there may not appear to be a lot of structure, the freedom to experiment with new solutions to help with work processes means Nicolas and his team can remain imaginative and innovative. 

Technology: The Only Constant is Change

In Nicolas’ option, the internet has been the most significant change during Nicolas’ time at Zetcom, with the company being the first to offer SaaS offerings. Since breaking into the collections management world, zetcom has continued to move the industry forward, collaborating to create solutions and explore cutting-edge technologies like auto-translations with Deepl and image recognition.  

When asked what he likes most about working at zetcom, Nicolas spared not a moment to mention his appreciation for the team’s diversity and passion for the product and clients. He praises the initiative taken by one team in creating a queue system, helping to find a more flexible way to work between teams. This initiative was highly appreciated by the project management team, helping to better understand the timing and capacity of other teams.

About Nicolas

Originally from France, Nicolas ventured overseas to Australia to gain experience before joining Zetcom in 2019. Before joining the company, he was building a search engine for internal websites in higher education. Since joining Zetcom, he has played an instrumental role in the company’s restructure and has contributed to the change management process.

The Zurich department for Waste, Water, Energy and Air (AWEL) uses UmweltPlus, zetcom’s software for managing environmental data. The environmental department is consistently developing the integrated software in cooperation with zetcom. Project manager Andri Brühwiler explains how internal and external users work with the software.

On behalf of the Canton of Zurich, the department for Waste, Water, Energy and Air (AWEL) oversees the protection and sustainable use of important natural resources. These include groundwater, lakes, rivers and air. The department’s employees ensure the supply of clean drinking water in the canton. They monitor the disposal of waste and sewage and ensure flood protection.

The large amount of data behind all these processes is recorded and processed with the zetcom UmweltPlus software. Nine sections of the AWEL are connected to the web-based software. Project manager Andri Brühwiler describes the advantage of this central IT solution as follows: « With UmweltPlus we get a cross-section view of all the data that our department processes and stores. »

Software connects internal and external users

UmweltPlus creates transparency. This in turn is the prerequisite for efficiently connecting internal and external users and access to the software. It also allows new framework conditions and cantonal tasks to be integrated into the department’s work processes.

« At AWEL we need software that integrates our sections with their different requirements and workflows. This software must also enable us to make ongoing adjustments and further developments at any time, » explains Andri Brühwiler.

Around 130 users work with UmweltPlus within the AWEL. The department’s employees process information and measured values on more than 15,000 industrial companies and around 75,000 facilities that carry out activities in the Canton of Zurich that are relevant to the environment and subject to monitoring. They record information such as: What size is a company or facility. What amount of chemicals is generated there. Which sewage is discharged.

In addition, there is data on tank systems, their material, volume, placement and contents. The data in UmweltPlus provide the necessary basis for decision-making when issuing permits, imposing conditions and carrying out periodic inspections of plants and facilities.

Besides internal access, the AWEL connects around 140 external users to UmweltPlus. Engineering offices, geologists and analysis laboratories load analysis data from groundwater measurements directly into the system. The AWEL employees check this data and initiate the necessary steps. For example, precisely when there is a need for action with regard to the monitored groundwater measuring points.

Integrated IT solution saves costs

Marc Filser is part of the zetcom team behind the UmweltPlus software. He and his colleagues are further developing UmweltPlus for clients like AWEL. « The AWEL is a long-standing client and a very intensive user of UmweltPlus, » says Marc Filser. « The employees at AWEL invest a lot in the further development of their software. This helps us to improve our product and to align very closely with the constantly growing needs of an environmental department. »

zetcom accompanies clients as a long-term IT partner. Once integrated, UmweltPlus is a solution that opens up many possibilities for users over the course of its use: close coordination with work processes – which can vary from one department to the next, users’ own configuration of the software, but also accompanied further development in cooperation with zetcom.

« By integrating UmweltPlus centrally within AWEL, the Canton of Zurich saves considerable costs for operation and maintenance, » explains Marc Filser. « Thus, only one central application is maintained and further developed and not three or more solutions in parallel. »

Creating new functions to save time

The AWEL and zetcom are currently developing a new function for UmweltPlus, which will soon be used in the department. « There are several hundred emergency power generators under our supervision, » says Andri Brühwiler.

« The number of operating hours that an emergency power generator runs per year is a main criterion for the requirements that the operator of the generator must meet. For us, the operating hours are therefore an important metric. In the future, we want to enable operators of emergency power units to enter this metric online. »

The new function is intended to save time and simplify the exchange of data between the system operator and the AWEL. Andri Brühwiler says that the quality of a software is characterized by such further developments. A high-quality IT solution must be well thought out, close to the practical needs of its clients and adaptable to new features. This gives users the freedom they need, while increasing efficiency for the organization.

The new functions at a glance

The latest functions for FoundationPlus will support users in the future in saving time in their daily work and reducing administrative effort. With this FoundationPlus creates space for quality work and a better overview.

Visualize workflows with Kanban board: The new Kanban board supports lean processes in the organization of our users. Updating and monitoring projects that are being processed in parallel becomes easy and transparent. All running projects are clearly displayed according to status on the Kanban board.

Save time with online forms: Applications can be submitted online with just a few clicks. All applications and required attachments are recorded directly in FoundationPlus. This saves time and reduces manual entries. Online forms can now also be pre-saved in order to be finalized by the applicant at a later point in time.

Adjust tables dynamically: Users get more freedom for configuring table views. In all relevant modules, the display, width and arrangement of columns can be dynamically adjusted even after data has been called up. These adjustments can now be saved permanently as private or public table views. In addition, the table view can be exported to Excel format.

Simplified commission view: Many of our users work collaboratively with commissions and experts to assess and approve applications. The new, optimized commission view makes collaboration in FoundationPlus quick and easy for everyone involved.

Connect accounting: In the payment list module, users can transfer information from FoundationPlus to accounting systems via an interface. This simplifies the collaboration with external departments.
